What we collect and how we use it

1. Information we collect

We collect the following kinds of information:

  • Account information. Your email address, your password, and, if you sign in with Google, the basic profile information Google shares to confirm who you are.
  • Study content. The material you put into Acacia to study, including text you type or paste, files and documents you upload, photos of your work, and the answers and explanations you give.
  • Voice. If you use voice features, the speech you record and the text it is turned into.
  • Your sessions. The study sessions Acacia builds for you, including your questions, answers, grades, progress, and settings.
  • Usage and technical information. Basic information about how you use Acacia, such as when you created your account and how often you use it, along with standard technical and log data needed to run and protect the service.

You decide what study material to upload. Please do not upload information about yourself or others that is more sensitive than what you need in order to study.

2. How we use your information

  • To provide Acacia: to build your study sessions, generate study content, grade your work, transcribe your voice, and save your progress.
  • To operate, secure, maintain, and improve the service.
  • To understand how Acacia is used, so we can make it better.
  • To communicate with you about your account or the service.
  • To protect Acacia and the people who use it, and to follow the law.

3. Cookies, analytics, and tracking

We use cookies and similar storage in your browser for essential things, like keeping you signed in and remembering your settings. We also collect our own basic usage information, such as when you sign up and how often you use Acacia, to understand and improve the product. We do not use third-party advertising trackers, we do not show ads, and we do not track you across other websites or sell your information.

Sharing and the providers we use

4. The providers we use

To run Acacia, we share your information with trusted third-party providers that handle things like artificial intelligence, transcription, storage, and hosting. These include Anthropic, OpenAI, Google, DeepSeek, AssemblyAI, Supabase, and Vercel. They process your information on our behalf to provide their part of the service, under their own terms. Some of these providers operate outside the United States, so your information may be processed in other countries.

We do not use your information to train our own artificial intelligence, and one person's work is never shown to another user.

5. How we share information

We do not sell your personal information. Beyond the providers above, we share information only when the law requires it or in response to a valid legal request, to protect the rights, safety, and security of Acacia and the people who use it, or if Acacia is ever transferred to a company that I form or to a new owner, in which case your information may transfer with it and this Policy will continue to apply until it is updated.

Your data and your rights

6. How long we keep your information

We keep different information for different lengths of time:

  • The text you provide and the sessions Acacia builds for you stay with us for as long as your account is open, so your work is there when you return.
  • Files and photos you upload, such as PDFs and pictures of your work, are deleted from our systems within about seven days.
  • We do not keep your voice recordings or your conversations with the in-app assistant. Our transcription and artificial intelligence providers may keep some of this on their own systems under their own terms.

When you delete your account, we remove your sessions and the personal information tied to them, except for anything we are required to keep to comply with the law.

7. Your rights and choices

  • You can see and update much of your information directly in the app.
  • You can delete your account and your sessions at any time from within the app, or by contacting us.
  • You can contact us to ask what information we hold about you, or to ask us to delete it.

If you live in California, you have the right to know what personal information we collect and how we use it, to ask us to delete it, and not to be treated differently for using these rights. We do not sell your personal information. To make a request, contact us at amogh@acacialearn.com.

8. Children and minors

Acacia is for students aged 13 and older. If you are between 13 and 17, a parent or legal guardian must agree to our Terms of Service for you. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us information, contact us at amogh@acacialearn.com and we will delete it. A parent or guardian may also contact us to review or delete the information of a minor in their care.

9. Security

We take reasonable steps to protect your information, including sending it over secure connections and relying on established providers for storage, accounts, and hosting. No online service can be perfectly secure, so we cannot promise absolute security, but we work to keep your information safe.

Updates and contact

10. Changes to this Policy

We may update this Policy from time to time. When we make a meaningful change, we will update the date at the top, and where it is reasonable we will let you know. If you keep using Acacia after a change takes effect, you accept the updated Policy.

11. How to contact us

You can reach us at amogh@acacialearn.com with any question about this Policy or your information. We usually reply within a day.
